Custom Admin Portal

The admin portal features a user dashboard, usage reports, marketing resources, and a QR code generator. There is no limit to the number of library staff that can be assigned admin permissions. Once your landing page is live, we will assign the primary contact at your library as the super-admin, and they will be able to grant admin privileges to library staff.


How To Access the Admin Portal
A Creativebug account is required to access the admin portal. To create a Creativebug account, visit your library’s custom landing page URL and enter the required information to authenticate you are a library patron. This will look different depending on which authentication method your library chose (barcode, proxy, etc.) You’ll be prompted to create an email address and password after successfully authenticating. These credentials will be used to sign into your Creativebug account moving forward. There is no limit to the number of library staff that can be assigned admin permissions.


Once your Creativebug account is registered, please email your admin access request and the email address you used to create your account to your Account Manager (Meghan or Angie).
Logging Into the Admin Portal
After you have authenticated, you should see the following page. Click on the link circled below to reach the admin portal. The hyperlink will open a new window and should automatically populate your library’s name in the “Library Name” field. We recommend bookmarking this tab for future reference.

*To identify the unique code for your library’s Library Name field please refer to your library’s custom landing page URL. Your library’s unique code is located at the end of your custom URL. Using the Creativebug custom landing page as an example, you would copy/paste “creativebuglibrary” and paste it into the Library Name field: https://www.creativebug.com/lib/

Assigning Admin Privileges
Login to the admin portal and navigate to "Account Info" tab on the left-side menu. From there, you can search for an account that has already been created or create a new account using the "Create New Patron/ Staff Account" button.
When opting to create a new account, you will enter the person's name, email address, set a temporary password, library card number, and account type.


Usage Dashboard
The usage dashboard showcases patron activity for the last 30 days, reflected in the bar chart and widgets to the right. The Total Usage Summary section is located below the bar chart and reflects the monthly summary of patron activity going back 36 months. You can download your Total Usage Summary by clicking the button on the bottom of the page, circled in red below. If you need data further back than 36 months, please reach out to the Creativebug team.

Reports
Viewing Summary
These downloadable reports are updated monthly and include details of classes patrons have viewed. Monthly reports won't be generated if there wasn't any viewing activity that
month. Please keep in mind this does not mean patrons aren't logging in and exploring Creativebug. It just means they didn't watch class videos during their session. They could have added videos to their watchlists, made edits to their account profile, explored the gallery, etc.

Instructional Guides, Promotional Resources, MARC Files and more
This section of the admin portal provides your library with a multitude of resources to promote the Creativebug platform to your patrons, plus instructional guides for individual class promotion, programming guides and more!

We’ve also created a custom QR Code you can download from the Resources tab that links to your library’s custom landing page. Perfect for printed materials to display in your library!

In the Admin Portal Instructional Guides folder, you’ll find instructions on how to create your library’s custom hyperlinks to classes featured in our programming guides, class series, individual classes, and new monthly classes. We also include a PDF of the “Creativebug Custom Admin Portal” section of this Welcome Guide as a PDF.


In the Creativebug Digital Toolkit folder, you’ll find resources to promote the Creativebug Platform, New Monthly Classes and Seasonal Programming.


In the Creativebug Platform Promotional Assets folder, you will find email banners, logos, printable, social media assets and video you can use to promote Creativebug as a resource to your patrons.

In the New Creativebug Classes By Month folder, you’ll find assets you can use to promote the newest, seasonal Creativebug Classes, including a promotional PDF that can be printed or shared electronically and social media assets to promote individual classes.


In the Seasonal Programming folder, you’ll find programming guides, reading programs and promotional materials to support these programs within your library. We are dedicated to expanding our programming guides and welcome any feedback or requests. Please reach out to the Creativebug team with any feedback.

Custom Designed Bookmarks
In addition to the digital assets provided, we also offer custom-designed bookmarks.
For international libraries, we create custom-designed bookmark files featuring the library’s logo for the library to download and to print in-house or at the printer of their choice. Please fill out the required information here and we will email you the digital file.
For U.S. libraries, we offer up to 1,000 custom-designed bookmarks printed and shipped to the library. To request bookmarks, please fill out the required information here.
MARC files are available for download, should you choose to use them. They are updated twice per year (Jan-Feb and June-July). The date the records were last updated is noted
below the group of files and folders. We include an update in our monthly newsletter when there are new MARC files available for download.
The delta MARC file we generate is for all classes that have been added since the last time MARC files were generated. If you want to be sure you have an accurate representation
of the catalog, we suggest deleting all existing Creativebug MARC records and then reimporting the full list.

Direct Class Links + QR Codes - Custom Hyperlink Instructions
Easily share or hyperlink your library’s customized links to individual Creativebug classes or class pages via social media or email. Classes are searchable by seasonality, topic, skill level, etc.

We provide an Instructional Guide, featured below that can also be downloaded via your admin portal within the Resources > Admin Portal Instructional Guide. In this example we focus on “New Releases” which is specific to new class releases each month.


STEP 2
Click on “Direct Class Links” from the menu on the lefthand side of the portal home page. Type “New Releases” in the Select a class: field. Select “New Releases//Lookbook” from the list.

STEP 3
To share the link to your custom url, simply click “Copy Link”. Now you’re ready to share the link in email, social media, or feature it on your website.
To download the QR code, click on the QR image, then “Download”. Once downloaded, the QR code can be added to printed materials such as posters, shelf talkers, postcards, bookmarks, etc. Additionally, you can feature the class QR code on digital displays promoting Creativebug within your library or library makerspace.

It is important to note: if you link directly to a class (or other content) on Creativebug.com your patrons will not be able to access the content unless they have previously authenticated via your custom Creativebug landing page AND created a Creativebug account.
Using the Direct Class Links feature refers patrons to your custom Creativebug landing page where those who have not authenticated and/or created their Creativebug account can do so. For those who already have an account, they will need to sign in to view the content.
If using Patron API or Proxy Server authentication methods, your patrons will be re-directed to your library’s landing page where they will need to sign in before accessing the Creativebug content.
